A Stress Free Guide for Busy People Managing Their Event Budget

I know this is a hard number to figure out and can be quite daunting, as you just have no clue how much to budget for when you think:

  • How much is the venue hire,

  • What will it cost for catering and beverages,

  • What furniture and decorations do I need to budget for and

  • How much does a DJ or band charge, but really you just need an idea on what you are WILLING to spend on these services and items, it will help the event planner and yourself!

The budget is one of the first things that needs to be discussed and determined when organising your milestone birthday, engagement party, baby shower and definitely a wedding!

If you consider each of the below details you will see the results and won't have the stress that can develop with managing or spending way over your initial budget.

Here are my 5 top tips when it comes to your event budget.....

1. BUDGET PRIORITISING

Write down the key elements that are most important to you!

Is the theme, decorations and styling going to be the event highlight?

Do you want your outfit to be the talk of the event?

Are you mainly interested in your guests plus yourself having a good time so the atmosphere/vibe and entertainment is your highest priority?

Or do you love FOOD, so will you be ensuring your budget covers a high quality delicious meal or yummy canapĂŠ style range?

It's important to have this list to look back on, as throughout the event planning process others will like to give their opinion on what they like or don't like and what they think you should include, but it's this list that will help guide you to make the right decisions for YOU, and not for everyone else!

2. Set a clear budget

Set a clear budget early, determine the total amount you're willing to spend on your celebration. This helps to guide your decisions and prevent overspending! Remembering you may need a little at the end for expenses that may come up..

This will also give you the opportunity to go over ideas, themes, decorations and suppliers.

Once the main budget has been determined it’s a good idea to break it down into sections so you know how much you are considering to spend on the planning, styling and coordination services.

3. PLAN AHEAD

No two budgets have ever been the same! Clients have different wants and needs when it comes to planning their event. Make sure to allocate specific amounts for each aspect of the event, the sooner you begin to plan your event, the less stressful it will be.

For each service you should obtain several quotes from suppliers. This not only helps you find the best deal but also gives you a clearer picture of what to expect in terms of costs. You will need time to discuss and work out catering options, and maybe do a few taste tests prior to selecting one.

4. Budget allocation

There are a number of aspects to be considered with your budget plan:

Are you hosting at home or hiring a venue and decorations?

Will you be putting on food and beverages?

Do you need a photographer, entertainment or any extra items like a cake, transport or to hire a cleaner.

This will help with allocating the budget to the right areas that are a priority, and saving in the areas that are less important.

5. Local Knowledge

Event Planners can refer you to reputable suppliers and vendors who we use and trust! We negotiate on your behalf to get the best value for your money, co-ordinate all aspects of your event and carry out your vision. Using an event planner takes away stress and worry, and gives you peace of mind to enjoy your event!

Hiring an event planner to organise and manage the planning process will save you time and allow you to focus on enjoying the exciting aspects of your event day.

The list of tasks that need to be organised when hosting an event is quite daunting and can be off putting for some! Don’t let those tasks be the end of something amazing!!
